Purpose
The purpose of this document is to define the roles and responsibilities of the Bonnyville Skating Club Executive.

President:
The President acts as the lead representative and first point of contact for the BSC.
- Chair monthly executive meetings and AGM.
- Oversees that all executive members' commitments are being fulfilled.
- Develop the meeting agenda in consultation with the Secretary and the Head Coach.
- Handle conflict resolution with any major club issues (skaters, coaches, parents, etc). Act as a third party at parent meetings when required.
- Reply to all inquiries to the President's Email Account.
- Act as the liaison between BSC and other clubs, the Regional Meeting, the Alberta Section, and Skate Canada.
- Cooperate with coaches on all matters regarding the workings of the skating programs.
- Work with the executive, overseeing the hiring, resignation, and termination of coaches.
- Attends Fall/Spring Regional Meetings.
- Complete Skate Canada surveys to keep the club in good standing.
- Apply for sanction through Skate Canada Alberta for special events.
- Ensuring compliance by all members.
- Order Canskate Ribbons and Badges as per the Head Coach's request.
- One of three Club signing authorities.
- Assist with the gift card fundraiser.
- Organize club apparel before the season commences.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events.
Vice President:
In the absence or disability of the President, the Vice President performs the duties and exercises the powers of the President, and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive meetings.
- Reply to all inquiries to the Vice President's Email Account.
- Liaise with the Executive and Club Coaches.
- Work with the executive to oversee the hiring, resignation, and termination of coaches.
- Is the direct contact with the Centennial Centre regarding ice time, scheduling, dressing rooms, and changes throughout the season.
- AGLC rep for club- 50/50 at carnival and raffle table at Funmeet.
- Assist with the gift card fundraiser.
- One of three Club signing authorities.
- Reviews ice bills for accuracy.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Secretary:
The Secretary is the notetaker at club meetings and is responsible for the club's main email and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive meetings.
- Reply to all inquiries to the Club Email Account.
- Send out Executive reminders with the proposed agenda.
- Take minutes of all Executive and AGM Meetings and send to the BSC Executive.
- Prepare copies of the Minutes of the previous year's AGM for the current year's AGM.
- Prepare an annual Notice of Annual General Meeting to be emailed to every member at least 2 weeks in advance of the AGM.
- Maintain club resources (Minutes, Constitution, By Laws, Policies, Executive Credits criteria, PA credits criteria, thank you gifts, assessment breakdowns, Awards, etc) in the Executive Google Classroom.
- Forward emails to club members as written up by the executive and/or coaches.
- Creates Google links for Funmeet registration package.
- Monitors incoming Funmeet registrations and payments, and ensures music is sent to the club.
- Forwards Head Coach music for Funmeet events in a timely fashion.
- Creates a Google form for carnival costume sizing.
- Monitors and prepares Google Sheets for Carnival Costume sizing info.
- Collects and verifies missing information for fun meets and costume coordination
- Forward all incoming club emails to the appropriate members in a timely fashion.
- Forwards e-transfers to appropriate executive members.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Treasurer:
The Treasurer oversees all BSC financial matters and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive meetings.
- Reply to all inquiries to the Treasurer's Email Account.
- One of three signing authorities.
- Responsible for submitting all appropriate records for the year-end.
- Monitor the budget and advise the executive on the financial status of BSC every month.
- Handle all accounting and banking transactions, e.g, paying bills, paying coaches, and reimbursement where needed.
- Responsible for monitoring and paying the club’s Visa bills.
- Prepare an annual operating budge.t
- Keep records of fundraising /Program Assistant Credits/special events, and provide statements as needed.
- Provide an annual financial report at the AGM.
- Prepares skating fees for approval by the BSC executive once the season schedule is completed.
- Prepares floats for special events.
- Assist with the gift card fundraiser.
- Lead person for 50/50 at carnival.
- Checks the physical mailbox.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Registration Chair:
The Registration Chair is responsible for updating the programs and products available in Uplifter and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive Meetings.
- Reply to all inquiries to the Registration Chair Email Account.
- Update/maintain Uplifter as required for CanSkate, PreStar, Jr. Development, and Starskate programs (fees, policies, and schedule).
- Registers all skaters with Skate Canada.
- Registers the BSC with Skate Canada.
- Reconciling e-transfers to registrations for Winter/Spring sessions.
- Controls Uplifter permissions for the board members.
- Collects and stores bond cheques.
- Calculates executive credit towards their registration.
- Provides full member list to Club Coaches, Secretary, and Volunteer Chair.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Assessment Chair:
The Assessment Chair is responsible for setting up assessment days, obtaining evaluators, preparing assessment sheets, and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive Meetings.
- Reply to all inquiries to the Assessment Chair Email Account.
- Be available for the Winter and Spring Assessment Day.
- Provide a report on assessment activities from month to month.
- Forward any emails pertaining other Club assessment days to club coaches.
- Keep up to date with the Skate Canada rules concerning assessment days, obtaining officials, and record keeping.
- Book hotel, purchase honorarium, and meal plan for out-of-town Evaluator (for Funmeet and assessment days).
- Liaise with Club Coaches.
- Forwarding assessment results and fees to the Skate Canada national office.
- Organize assessment day- music player, high assessment sheet prep.
- Report our Assessment Days to the Regional Assessment Day Coordinator.
- Organize assessment-related finances- (e.g, skater assessment fee).
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up/clean up for special events).
Parent Rep:
The Parent Rep is the liaison between the Executive, Coaches, and the members of the Canskate, PreStar, Jr. Development, and Starskate Programs (parents and skaters) and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive meetings.
- Reply to all inquiries to the Parent Rep Email Account.
- Act as a liaison for skating parents and bring concerns to the appropriate members
- Assist with the gift card fundraiser.
- Prepares supervision schedule for PreStar, Jr. Development, and Starskate programs (winter/spring).
- Organizes Canskate Santa Skate in conjunction with club coaches and executive
- Direct all skating-related questions to Club Coaches.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Volunteer Chair:
- The volunteer chair is responsible for organizing fundraising activities for the club and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attend monthly BSC executive meetings.
- Reply to all inquiries to the Volunteer Chair Email Account.
- Maintain procedures for fundraising (ie, Google Docs).
- Organize and supervise fundraising activities (gift card fundraiser, volunteer jobs) ● Orders and organizes gift cards (with executive help).
- Be in attendance for gift card collection and distribution.
- Be in attendance for Dress Rehearsal and Carnival.
- Prepares Volunteer Duties for Carnival (with Head Coach's help).
- Handles communication with club members about volunteering.
- Ensure all members have completed their fundraising requirements.
- Ensure Treasurer is provided with fundraising proceeds.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events.
Carnival Chair:
The Carnival Chair is responsible for planning and organizing the annual club ice show in collaboration with the BSC club coaches and will carry out additional responsibilities as needed, at the direction of the club executive.
- Attends monthly BSC executive meetings.
- Reply to all inquiries to the Carnival Chair Email Account.
- Maintain procedures for carnival planning.
- Liaise with Executive and Club Coaches to determine Carnival Date.
- Determine the Carnival theme with the President and Club Coaches.
- Book club photographer for Dress Rehearsal Day with Club Approval.
- Prepare the Carnival budget to be presented to the Executive for approval (costumes and decor)
- Organize and lead:
- Design tickets - Order by mid-January.
- Plan/Order Costumes- PreStar, Jr. Development, and Starskate order by mid-November - Canskate order by mid-December.
- Costume try-ons- by mid-January to ensure time to reorder.
- Props/Decorations.
- Prepares costumes in dressing rooms for Dress Rehearsal and Carnival.
- Steams costumes before Dress Rehearsal.
- Maintain contact with Club coaches.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Website Chair:
The Website Chair is responsible for keeping the website updated, with all club activities and promoting the club, and will carry out additional responsibilities as needed, at the direction of the club executive. Duties:
- Attend monthly BSC executive Meetings.
- Reply to all inquiries to the Website Chair Email Account.
- Update and maintain the club website in a timely fashion .
- Create the Annual Carnival Program with information from coaches.
- Publicize and promote membership, club activities, programs, schedules, etc.
- Post Skater of the month in a timely fashion.
- Ensure info on website is accurate and up to date.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Head Coach
The Head Coach oversees all coaches, Program Assistants, events, and programs run by the Bonnyville Skating Club. All club coaches must stay in Good Standing with Skate Canada.
- Attend monthly meetings.
- Attend Regional meetings.
- Set Skating Program requirements.
- Conduct parent meetings when needed.
- Nominate Skate Canada Award recipients.
- Attend AGM.
- Prepare and present slide shows at AGM.
- Assistant to all executive positions.
- Organize Skate for the Cure- donation sheets, collect money, skating program ● Organize Carnival-groups, costumes, routines, music.
- Organize the entire event and run Funmeet/InterClub.
- Prepare Important Dates.
- Maintain Bulletin Board Information.
- Contributes to the preparation of monthly meeting agendas by providing input on discussion topics and action items.
- Keep Facebook updated.
- Schedule winter season ice time.
- Schedule spring Ice time.
- Prepares Important date list.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada
- Support club events- skate for the cure Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Starskate:
- Prepare all Coach-assessed assessment sheets.
- Prepares High Assessment Schedule.
- Schedule dance lessons.
- Write up and send emails.
- Create and implement training plans.
- Coach Assess Star 1-5 freeskate, Star 1- GOLD skills, Star 5-GOLD Artistic, and Star 1-5b Dance .
- Attend out-of-town FunMeets, Competitions, and Assessment Days.
Canskate/ PreStar/Jr. Development:
- Prep PA orientation.
- Oversee all programs.
- Monitor and train Program Assistants daily.
- Update Progress Reports in a timely fashion.
- Daily lesson plan for each session.
- Inventory of badges/ribbons.
- Write up emails.
- Monitors and supports PA/Helpers.
- Create and implement training plans.
- Attend out-of-town FunMeets.
Club Coach
The main Club Coach for the Bonnyville Skating Club coaches Canskate, PreStar, Jr. Development, and helps with Star 1-3 programs. All club coaches must stay in Good Standing with Skate Canada.
- Conduct parent meetings when needed.
- Nominate Skate Canada Award recipients.
- Attend AGM.
- Organize carnival- groups, costumes, routines, music.
- Promote a positive environment concerning our club executive, club programs, coaches, and Skate Canada.
- Support club events- skate for the cure, Funmeet, carnival, assessment days (this includes the planning and set up / clean up for special events).
Canskate/PreStar/Jr Development:
- Update Progress Reports in a timely fashion.
- Daily lesson plans for each program.
- Monitor and train Program Assistants daily.
- Write up emails.
- Assists on the day of Funmeet/InterClub with ice operations.
- Attend out-of-town FunMeets.
- Monitors and supports PA/Helpers.
- Create and implement training plans.
